# Sharing a Submittal Report

> Send a candidate's submittal report to people outside Tenzo with a link that expires, see who has opened it, and revoke it at any time

## Sharing a Submittal Report

A submittal report is the client-ready summary of a candidate's interview. Open it from the
**Submittal Report** button when [reviewing an interview](/getting-started/reviewing-an-interview).

A share link lets someone without a Tenzo account, such as a hiring manager or client, open that
one report. Each link has an expiry date, and you can revoke it at any time.

  Creating share links is turned on organization by organization. If the **Share** dialog says
  you can't create links, contact Tenzo support. You can still see and revoke the report's
  existing links there.

## Creating a Share Link

Anyone who can view the job can share its submittal reports.

1. Open the candidate's submittal report.
2. Click **Share**.
3. Choose how long the link works: 7, 30, 90, or 365 days. The default is 30 days.
4. Optionally, enter the recipient's email address. It appears next to the link in the list of
   active links, so you can tell links apart later.
5. Copy the link and send it to the recipient.

Tenzo does not email the link for you. Anyone who has the link can open the report until it
expires or is revoked, so send it only to the people who need it.

If the email address you enter belongs to someone with a Tenzo account in your organization, you
get the report's normal address instead of a share link. They open it by signing in to Tenzo, with
the access they already have.

## What Recipients See

Recipients open the report in their browser without signing in. They see the same report you
do, with these differences:

* **It follows the report's settings.** The resume appears only when the report includes it,
  and the interview recording and transcript only when the report includes them.
* **It is read-only.** Recipients cannot edit the report or take actions on the candidate.
* **It shows only this report.** Recipients cannot open the candidate's other interviews, other
  candidates, or the job itself, and the AI chat about the interview is not available.

When a link has expired or been revoked, the recipient sees a message saying so instead of the
report. Send them a new link if they still need access.

## Links Tenzo Sends Automatically

Tenzo also creates share links for you in two places:

* **Flagged event emails.** When a job's **Flagged Event Notifications** send an alert to an
  address outside your organization, that person receives their own email with their own share
  link. The link works for 30 days. People in your organization receive the report's normal
  address.
* **CSV exports.** When you [export candidates](/getting-started/interview-results-table#selecting-candidates-and-bulk-actions)
  with the **Submittal Link** column selected, each row's link is a share link that works until
  it is revoked. Every export creates new links. If you don't need the links, uncheck the
  **Submittal Link** column before exporting.

These links appear in the report's list of active links alongside the ones you create.

## Seeing and Revoking Links

Click **Share** on a submittal report to see its active links. For each link you see how it was
created, who it is for (when a recipient was entered), who created it, when it was created, when
it expires, when it was last opened, and how many times it has been opened.

* **Revoke** stops one link.
* **Revoke all** stops every active link for the report that you are allowed to revoke.

A revoked link stops working within a minute, including for anyone who already has the report
open. Revoking cannot be undone; create a new link if someone needs access again.

You can revoke links you created. To revoke links someone else created, or links Tenzo sent
automatically, you need **Manage Candidates** on the job.

## The Report's Own Address

The address in your browser when you open a submittal report is the report's own address. By
default, anyone who has that address can also open the report without signing in. It has no
expiry date of its own.

Once a share link has been created for a report, the report's own address requires sign-in for
that report. This stays true after the link expires or is revoked, so people outside your
organization then need a share link to see the report, including anyone you sent the report's own
address to earlier. People in your organization open it by signing in to Tenzo, as usual.

To require sign-in for the report's own address on every report, contact Tenzo support to turn
this off for your organization.
